AI Phone Assistant for Hair Salons: How to Answer Every Call, Even Mid-Colour

17.8.2026

In short: An AI phone assistant is a system that answers incoming calls in a natural voice, understands what the caller wants, and acts on it independently. In a hair salon that means: it checks the open times in your calendar, books the appointment bindingly, and reschedules or cancels on request - around the clock, including when nobody in the salon can get to the phone. Unlike an answering machine, it doesn't leave you a message; it completes the task.

The problem: the call always comes at the wrong moment

You're washing a client's hair. The phone rings. You have wet hands, a client in the chair and nobody on reception — so it keeps ringing until it stops.

How many calls go unanswered in your salon is something only you can know — and your phone system will tell you. Generally the rate is high, because work on a client's head can't always be interrupted: there are stretches of the day when nobody can pick up at all.

And a caller who doesn't get through rarely calls a second time. She calls the next salon.

What a missed call actually costs

The maths is simple: missed calls per week × 50 weeks × your average ticket. Missing just 3 calls a week adds up to €6,000 a year in lost revenue at a €40 average ticket, €9,000 at €60, or €12,000 at €80. At 5 missed calls a week, that's €10,000 to €20,000 a year, and at 10 missed calls a week — which is common in busy salons with only one or two people on the floor — the lost revenue climbs to €20,000 to €40,000 a year.

This is arithmetic, not an industry statistic. It assumes every missed call would have been a booking, in practice some callers try again later. Even if only half of those missed calls lead to actual appointments, capturing that lost revenue means an AI assistant quickly pays for itself.

What is an AI phone assistant?

An AI phone assistant, also called a virtual phone assistant or AI call answering, is software that operates the phone for you. Three things set it apart from anything you've used before:

It speaks rather than announces. The voice is synthetic but sounds natural. The caller has an ordinary conversation; she hears no menu and presses no buttons.

It understands freely worded requests. "I'd need an appointment for colour and a cut, ideally next week in the afternoon" is processed correctly, without the client having to use predefined keywords.

It acts. This is the decisive point. An assistant that only takes a message and emails it to you has merely postponed the work. A real AI phone assistant accesses the calendar and books. At the same time, you never lose oversight because you have access to every single call transcript and step the AI takes, ensuring you are always informed and remain 100% in control.

How does it actually work in a salon?

1. The call comes in - alongside your phone during opening hours, or outside them when nobody is in the salon.

2. The AI phone assistant answers and asks what the caller needs.

3. It identifies the service requested and the time it requires — a root colour with a cut needs longer than a dry cut.

4. It checks genuine availability in the calendar, including the right team member if the client asks for someone specific.

5. It books the appointment. The client receives a confirmation; the appointment is in your calendar.

6. At the end of the day you can see which calls were answered and which appointments were booked.

The whole process runs while you keep working. You only find out about it when you look at the calendar.

What an AI phone assistant can take on, and what stays with the team

It’s important to know the limitations of an AI assistant, because mismatched expectations are the most common reason systems like this get switched off again.

What an AI assistant will take on:

  • Bookings for clearly defined services
  • Reschedules and cancellations
  • Questions about opening hours, address, parking
  • Information on prices and what a service includes
  • Calls outside opening hours, on Sundays and during holidays
  • Calls that come in while someone is already on the phone

What stays with the team:

  • Consultations about a bigger change
  • Complaints, sensitive inquiries, and delicate situations
  • Complex colour corrections, where an in-person hair assessment is required
  • Regulars who want to talk to your team directly

A good AI assistant also recognises its limits and boundaries and when a conversation requires human nuance, transferring the call or noting a callback to ensure a smooth client experience.

What to look for when choosing an AI Phone assistant

The market has grown quickly over the past two years, and providers differ fundamentally on one point.

Does the assistant see your real calendar?

This is the most important question. Many providers are pure telephony solutions that then have to be connected to your booking system through an interface. If that connection isn't reliable, the assistant collects requests that you enter manually afterwards — and you've only moved the work. An assistant that is part of the salon software works directly on the same calendar you do.

Does it know your services and their durations?

It needs to know that root colour with a cut takes two hours in your salon, and who is qualified to perform which service. Without that integrated data you might end up with appointments that don't work in practice.

How does it sound — and which languages does it handle?

Of course, your AI assistant should speak your language, ideally with the regional character of your clientele. An AI voice that stumbles or slips into English can cost you trust. If you live in a bilingual area — such as Belgium, Luxembourg, Switzerland — also check that it takes calls in every language your clients use. A system that handles only one of them will frustrate half the people calling you.

What happens to the data?

Phone calls generate personal data, such as the client’s name, phone number, requested services, and more. It’s important to know whether a data processing agreement is in place, where that processing takes place, and how long the recordings are kept. More on this below.

How many calls can it answer at once?

The advantage over a reception desk only materialises when several calls can be handled in parallel — Saturdays especially.

GDPR: what you need to consider

For a salon anywhere in the EU — France, Belgium, Luxembourg, the Netherlands, Germany, Austria — GDPR applies, overseen by your national authority (the CNIL in France, the APD/GBA in Belgium, the CNPD in Luxembourg). In Switzerland it's the revised Federal Act on Data Protection (revFADP) instead. Overall, three points matter in practice:

• Data processing agreement. The provider processes client data on your behalf. Don't start without one.

• Transparency towards the caller. A client should be able to tell that they’re speaking to an automated system. The AI assistant should briefly mention this at the start of the call, and in practice this isn't off-putting.

• Storing the recordings: Ask whether calls are recorded, what for, and how long they're kept. Booking an appointment doesn't require permanent storage of voice recordings.

A note for Swiss salons: unlike GDPR, the revFADP also includes fines against responsible individuals personally, not only against the company. Exercising due diligence when choosing a software provider is therefore particularly important for Swiss salon owners.

Will clients accept it?

The concern is understandable: does a machine on the phone put clients off?

In practice, availability weighs more for clients. The alternative isn't a conversation with you - the alternative is that nobody picks up.

And what matters more than technology is the moment. Someone calling on a Sunday evening to book a colour appointment wants one thing: to know she has a slot. She isn't looking for a conversation. The clients who do want to talk to you tend to call during opening hours, or simply mention it at their next appointment.

Maia: Premium AI assistant

Maia: the AI phone assistant in Salonkee

Salonkee is currently rolling out Maia, a premium AI assistant, in salons.

The difference from a bought-in telephony solution lies exactly where the most important selection question was above: Maia isn't a separate system that has to be connected to your calendar. Maia works on the same calendar you do. It sees the same open times, the same services with their durations, the same team members and their qualifications.

In practice that means:

Appointments are locked into your schedule instantly - no preliminary requests, back-and-forth emails, or manual double-handling required.

• It knows the correct duration per service, keeping your daily timetable structured and preventing awkward gaps or accidental overlaps.

Client details remain inside the secure ecosystem you already trust - one platform, one dataset, and a single data processing agreement, instead of syncing data across multiple third-party tools.

And because Maia sits in the same software as your scheduling and your campaigns, the pieces all seamlessly work together: a call on Sunday evening becomes an appointment, the appointment closes a gap in your calendar, and automatically updates the client profile - giving you real booking data to drive your future targeted marketing campaigns.

FAQ

A system that answers incoming calls in a natural voice, understands what the caller wants and can act independently - in a salon, typically by checking availability in the calendar and booking an appointment bindingly.

Bookings, reschedules and cancellations, information on opening hours, prices and services, and all calls outside opening hours. Consultations, complaints and anything requiring a personal touch stay with the team.

There are two categories. Specialised standalone providers offer pure telephony solutions that connect to your booking system through an interface. The second variant is built directly into the salon software, like Maia in Salonkee. The practical difference: an integrated assistant sees the real calendar and can book bindingly, whereas a connected solution may only pass on a request you then have to enter yourself.

Usually yes, and that's how it should be a- brief note at the start of the call is the clean approach for data protection. In practice it isn't a problem, because the alternative isn't a conversation with you; it's a phone nobody answers.

It can be. It requires a data processing agreement with the provider, transparency towards the caller, and restraint in what gets recorded. In Switzerland the revFADP applies instead of GDPR. Salonkee’s Maia is GDPR and revFADP-compliant.

No. It takes the calls nobody would otherwise answer such as those coming in parallel, those outside opening hours, and those that arrive while you're working on a client's hair. The team remains responsible for everything that needs a conversation.
